Every new inquiry worked up within the hour, waiting for an attorney.
The 1-Hour Intake Assistant reads each inquiry to your firm, removes the names before any AI sees it, searches your records for conflicts, and leaves a reply and an intake report in your drafts. An attorney approves everything before it goes out.

Waiting for an attorney
Watch one inquiry go through.
A prospective client writes in about a withheld deposit. The assistant redacts the message, finds that the landlord is already a client of the firm, holds the reply, and leaves two drafts for an attorney: the reply, and a report that says why it waited.

- New client intake with a conflict check
- Court deadlines calendared from scheduling orders
- A commercial lease triaged before the attorney reads it

Using AI in your practice at all, with or without us? Start here. Four short parts your firm and its counsel can adapt. No email required.

The opinion in plain English
What Opinion 512 expects under each rule, and one thing to do about it this week.
A vendor checklist
The questions to put to any AI vendor before client information goes near it, and what a good answer looks like.
Client disclosure and consent language
An engagement-letter clause, a specific-use consent form, and a short answer for when a client asks.
A one-page firm AI policy
Approved tools, what never goes in, verification, clients, billing, training and incidents.
How it works. The same four steps for every inquiry, in the mailbox and records your firm already uses.
The inquiry arrives
A prospective client writes to your intake address, at any hour. Nothing changes for them.
Names come out first
Names, addresses, account numbers, and other identifiers are replaced with placeholders before any AI model sees the text.
Conflicts are searched
The parties are checked against your matter records. A likely conflict is flagged, and an attorney decides every one.
Two drafts wait for you
A reply to the prospect and an intake report sit in your drafts. Nothing is sent until an attorney approves it.
Curious where your firm’s week goes? Take the 3-minute Office Time Leak Scorecard; it asks about intake, follow-up and billing in a law firm’s terms.
Built around confidentiality.
Information from a prospective client is protected from the first message. The assistant is designed so that protection does not depend on anyone remembering a rule.
Redaction before any model call
Identifying details are removed first, and a second check stops the run if any slip through. The model works on placeholders, and the real details are restored only in your drafts.
An environment of your own
Each firm’s assistant runs in its own dedicated environment in US data centers, isolated from every other client, with nothing reachable from the internet. The AI provider may not train on your firm’s data.
An attorney approves everything
The assistant drafts and flags. It never sends a message, accepts a matter, or clears a conflict; those stay with the attorney, by design.
Written with ABA Formal Opinion 512 in mind
Setup includes a compliance kit: a guide to the opinion, sample consent and notice language, and a firm AI-use policy template for your counsel to adapt.
Built to connect with the software you run. The conflict search reads the matter and contact records your firm already keeps.

Questions firms ask
Will it ever send anything on its own?
No. Its replies and reports are drafts in your mailbox. An attorney reads, edits, and sends them, or deletes them.
Does the AI see our prospective clients’ names?
No. Identifying details are replaced with placeholders before the text reaches the model, and the run stops if a check finds one left behind. Real names reappear only in the drafts inside your own mailbox.
Does it decide conflicts?
No. It searches your records and reports what it finds, with a likely conflict flagged at the top. An attorney makes and records every conflict decision, and the reply is held until they do.
We use different practice management software. Can it still work?
Usually. The assistant is built to connect with the systems listed above, and the call is where we confirm how it would reach yours.
Why is hosting required?
Because the assistant handles prospective-client information, it runs only where it can be monitored, patched, and kept isolated. Natural State Logic runs it for you, so nobody at the firm has to.
Is any of this legal advice?
No. The compliance kit is a set of templates for your firm and its counsel to adapt, not legal advice.
